INFORMATION ABOUT PROCESSING AND PROTECTION OF PERSONAL DATA

 

LEGAL FRAMEWORK AND THE SCOPE OF PROCESSING

Archdiocesan Caritas Olomouc as a controller of personal data (hereinafter Controller) based at Křížkovského 505/6, 779 00 Olomouc, registration number MK: 8/1-02-704/1996, registration date 30th October 1996, company registration number : 43962726, processes while realization of the humanitarian and development aid within the meaning of the Regulation of European Parliament and of the Council (EU) No 2016/679 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and of repealing Directive 95/46/EC (General Data Protection Regulation), (hereinafter „Regulation“) the following personal data :

  • Child sponsorship programme:
    • First name and last name
    • adress (contact, shipping, business)
    • phone number
    • e-mail adress
    • Company registration number
    • Information related to the payment for Child sponsorship programme
    • Photos and videos
  • Gift for Haiti:
    • First name and last name
    • adress (contact, shipping, business)
    • phone number
    • e-mail adress
    • Company registration number
    • Information related to the payment for Child sponsorship programme

 

  • Other donors:
    • First name and last name
    • adress (contact, shipping, business)
    • phone number
    • e-mail adress

    • Information related to the financial gift
  • Volunteers, trainees, co-workers:

    • Date of birth
    • adress (contact, shipping, business)

The Controller acquires the data directly from the data subject based on demands in the framework of negotiation about making a contract or during personal, telephonic, written or e-mail communication.

 

PURPOSE OF THE PROCESSING

The Controller processes the aforementioned data in the framework of the performance of contractual and legal obligations and in the framework of its legitimate interests in the purpose:

  • Child Sponsorship programme:
    • Concluding an agreement on the financial aid of the project, sending an acknowledgement of receipt of the gift, mediation of the communication between the sponsor and the child, information of the project realization, and statistics keeping
    • sending wishes and invitations for events and offers for further cooperation in the fields of humanitarian and development aid

 

  • Gift for Haiti:
    • Sending a gift certificate, acknowledgement of receipt of the gift and statistics keeping
    • sending wishes, invitations for events, newsletter and offers for further cooperation in the fields of humanitarian and development aid

 

  • Other donors:
    • Making a contract, acknowledgement of receipt of the gift, information about the use of the gift, statistics keeping
    • sending wishes, invitations for events, newsletter and offers for further cooperation in the fields of humanitarian and development aid

 

  • Volunteers, trainees, co-workers
    • making a contract, issue a confirmation of voluntary service or professional experience, organizing educational events, informing of projects, collects and campaigns, statistics keeping, promoting humanitarian and development aid.
    • sending wishes, invitations for events, newsletter and offers for further cooperation in the fields of humanitarian and development aid

 

When a data subject is using the website www.haiti.cz it can happen the information about the subject may be recorded which can include personal data like IP address, an unique identifier of the device and the type of the device, previously visited web pages, information about steps on ACO web page like clicks, operations made and marked preference and time of the access and the referential address URL. Data sets called cookies are used to collect this data.

The Controller uses the cookies to observe how the visitors behave on the web page and to understand their preferences (for example interest in particular activities, preferred kind of assistance, the choice of the language) and this for the purpose of improving offered possibilities to get involved in the help, to acquire summary information about the web is working and their communication, to discover the trends and to keep statistics.

 

RETENTION OF THE PERSONAL DATA

As a matter of principle, the Controller collects only the kind of personal data that he needs for the stated purpose. The Controller does everything in a way to evaluate the process in order to assure that the data are properly protected, to minimize the personal data and with respect to the transparency, correctness and lawfulness. The Controller observes the principle of responsibility, integrity, accuracy and restricted storage.

Personal data are always stored for a period required by the applicable legislation. If this period is not determined, then for a period the legal purpose for processing or for a period necessary for the termination of the exercise or for the defence of the legal rights.

In case of withdrawal of the consent of the data subject with processing his personal data of unstated reasons, the personal data will be stored no more than 30 days after reception of the withdrawal of consent.

 

 CATEGORIES OF RECIPIENTS OF PERSONAL DATA

The Collector can authorise a third person, a processor, to process the personal data. This can include companies and persons who contribute on goods delivery or the realisation of payments based on the concluded contract and persons who assure technical services that are related to the Child Sponsorship programme of Gift for Haiti for the Collector, including the operation of the software and data storage.

The recipients of personal data processed in the purpose of fulfilment of obligations arising from the applicable legislation can also be financial bodies or other responsible authorities in cases when the Collector is obliged so by binding legislation.

RIGHTS OF THE DATA SUBJECT

Under the specified conditions the data subject has the right to demand the access to the personal data from the Collector, their rectification or erasure, restriction of their processing, the right to object against the processing of the personal data and the right to transfer the personal data.

If the data subject assumes that by processing his personal data a regulation was or is being violated he has the right to lodge a complaint to a supervisory authority.
